How do I set up my Co-Kinetic account?

Sound familiar?

You have just joined and want to get to the good stuff — campaigns, emails, content — but you are not sure what needs setting up first, or you skipped setup and now your leaflets are coming out unbranded. This is the best first hour you can spend in Co-Kinetic: everything you enter here flows automatically onto your patient leaflets, emails, vouchers and web pages, so you set it once and everything comes out as you 🎨.

What's happening

After you sign in you land on your practice dashboard. Your setup lives in Settings, across three tabs — Account Settings (you and your login), Business Settings (your public identity — the one that matters most), and Integrations & Tools (social networks, outside systems, AI writing style). Change what you need and click Save Changes before you leave a page.

Why it works this way

Every piece of content Co-Kinetic makes for you is assembled from these settings at the moment it is created — logo, colours, contact details, footer, call-to-action. That is why an hour here pays forever: there is no "brand this leaflet" step later, because branding already happened 🙂.

What to do now

Tab 1 — Account Settings:

  1. Login information — your email, password and a profile photo — and your personal details (name, phone, profession; private, never public).
  2. Billing — card management appears here if your billing runs through Stripe (add a backup card so a payment never fails on an expired card); some accounts are billed through our other provider and will see their card with a note to contact us for changes, which is normal. The billing portal button is where invoices and history live.
  3. Credits — credits power email sending and certain tools. This panel shows your balance, sells top-ups in set packs, and includes a calculator: tell it how many email addresses you will verify and how many emails you will send, pick your currency, and press Calculate Credits. To buy, select a pack first, then Purchase Credits. There is also a Credits Auto Top-up toggle (off by default) if you would rather never think about it.

Tab 2 — Business Settings (your public identity):

  1. Brand identity — business name, tagline, a short bio, and your logo. Two tips that make a disproportionate difference: use a PNG with a transparent background, and crop away the empty space around the logo — designers often leave a big invisible border that makes logos look tiny on leaflets. This section also holds your local currency (used in your shop and invoices) and timezone (used to schedule social posts at the right time) — set both once.
  2. Contact details — the public details patients use: contact email, the from-name on your emails, phone, booking link, contact link, address, and your Google Maps link.
  3. Social & online profiles — your website and social links, with the choice of showing the icons on your web footer, email footer, or both (both, ideally).
  4. Brand colours & styling — your exact brand colour codes if you have them; make the call-to-action button your brightest colour (it is the one people click to book); switch to white icons if your footer background is dark. There is also an option controlling whether your business name appears on PDF leaflets — check a real leaflet after saving to confirm it looks how you want.
  5. Call-to-action bar — the strip with a button ("Book an appointment") shown on the web pages and emails Co-Kinetic creates: set the message, the button label, and the link.
  6. Legal & compliance — your privacy policy URL (important: your sign-up forms link to it) and your terms URL.
  7. Quick links — the links shown in the footer of your Co-Kinetic web pages: your blog, resources, anything patients should find in one click.
  8. Branding previews — at the bottom of the tab: Preview PDF Leaflet, Preview Email Footer and Preview Web Footer buttons show you exactly how your branding comes out. Use them after every save — it is the fastest way to confirm a change took.

Tab 3 — Integrations & Tools:

  1. Social networks — before clicking anything, log in to each network in another browser tab with the account that has admin access to your clinic page, then press Link social networks and the linking window does the rest.
  2. Third-party integrations — only if you use outside systems. Webhooks pass contacts between Co-Kinetic and other tools (the outbound new-contact webhook has a test button so you can check it fires); a Stripe API key field is here if you plan to sell vouchers through your shop, so payments go straight to your own Stripe account.
  3. Practice management software — connect Nookal here (Mindbody and Jane App are coming soon): enter your API key and Co-Kinetic verifies it securely before saving. One habit worth keeping: after saving, glance at something real — a leaflet, an email preview — to confirm the change took. And that is the whole setup: from here, everything you create carries your branding automatically.

The question behind the question

"Do I really have to do all of this before I can start?" No — you can start creating immediately, and nothing breaks. But everything you make before branding is set comes out generic, and everything after comes out yours, so the hour's real question is just: how much unbranded material do you want to exist with your name on it? Logo, colours and contact details are the fifteen-minute core; the rest can trickle in 🙂.
