How do I give someone administrator access?
Sound familiar?
"My practice manager needs to be able to run all this, how do I let her in?" "Can our admin team use the platform without being listed as clinicians?" "How do I add another login that isn't a practitioner?" "Are there different permission levels?" Administrators are added on the Clinic Profile page, just below the clinical team.
What's happening
On the Clinic Profile page at https://content.co-kinetic.com/my-clinic/clinic-profile, below the Your Team panel of clinicians, there is a section for adding account administrators. Add the person there and they get access to run the practice's account 🔑.
Two things to know:
- Administrators are separate from clinicians. An administrator does not need a clinician profile, and administrator access by itself puts nobody on your public team page and changes nothing in your content plan. This is the right place for practice managers, admin staff, or anyone who runs the system without treating patients. (If someone is both an administrator and a clinician, it is their clinician profile — not their admin access — that appears publicly and feeds the plan.)
- There is currently one access level. Every administrator gets the same access: there are no tiered permissions to choose between at the moment.

Why it works this way
In most practices the person driving the platform day to day is not a clinician: it is the practice manager or owner working through the plan, chasing profile completions and approving content. Keeping administrators separate from the clinical team keeps the model clean: clinicians power the content (their profiles, niches and authorship are what AI search reads), while administrators power the account. Mixing the two would put non-clinical staff into clinical machinery where they do not belong 🙂.
A clinician can also be an administrator: the practice owner who also treats patients is the classic case. And note the related but different control on each clinician's row: make owner, which transfers practice ownership rather than adding day-to-day access.
What to do now
- Open https://content.co-kinetic.com/my-clinic/clinic-profile.
- Scroll below the clinical team to the administrators section.
- Add the person's details: they get access at the single current level.
- If the person you are adding is a treating clinician who should also appear in content and on the team page, add them as a team member instead (see "How do I add a new team member?"), that covers both.
The question behind the question
"Can I limit what an administrator can do?" Not yet: one access level exists currently, so only add people you would trust with the whole account. If finer-grained roles matter to your practice, tell us in the chat: knowing real demand for it helps us plan.

Still stuck? This usually means...
- You added someone as an administrator but meant them to be a clinician (or the reverse). Add them in the right place and remove the wrong entry: administrators and team members live in separate sections on the same page.
- The new administrator cannot get in. Ask them to check spam for their access email, and see "My login link expired or isn't working" for link trouble. Still stuck? Tell us in the chat with their email address.
- You want to hand the whole practice account to someone else. That is ownership, not administration: use make owner on their entry in the team area, and be certain before you do.
